System Deployment Guidelines
These guidelines apply to equipment and production systems that are professionally delivered, deployed and removed by Haye Productions. They form part of the terms and conditions applicable to your system reservation unless different terms are specifically stated in your proposal, estimate, invoice or production agreement.
A professionally deployed system is different from an equipment-only rental. Haye Productions transports the equipment to the venue, performs the agreed deployment, setup and configuration, tests or inspects the system as applicable, and returns for breakdown and removal.
These guidelines apply to Haye Productions Premium PA Systems, professionally deployed line array systems, Mobile Stage deployments and other audio, staging, lighting, video or production systems identified as requiring professional deployment. Certain equipment or services, including Mobile Stage deployments, may also be subject to additional equipment-specific or service-specific requirements.
1. Professional System Deployment
Unless otherwise stated in writing, standard professional system deployment generally includes the services applicable to the reserved system:
- Delivery to the event venue within the agreed service area
- Unloading and placement of the equipment
- Normal system assembly, setup and deployment
- Required system cabling, connections and basic infrastructure included with the reserved system
- System configuration, processing and/or preparation as applicable
- Testing, inspection and reasonable optimization as applicable to the system and event
- Breakdown and removal following the agreed event or deployment period
Final equipment selection, positioning and system configuration may be adjusted by Haye Productions when reasonably necessary to provide appropriate performance, coverage, functionality or safe operation for the venue and event.
2. Deployment vs. Event Staffing
Professional system deployment does not automatically include continuous on-site staffing or operation of the event.
Unless specifically included in your proposal or reservation, additional services may include:
- FOH audio engineer
- Monitor engineer
- Dedicated system, stage or production technician
- Audio, lighting, video or other system operation during the event
- Rehearsals and extended sound checks
- Daily system checks or support visits
- Equipment moves or system reconfiguration after initial deployment
- Additional setup, strike or production labor
Engineers, technicians and additional production personnel are available and can be quoted based on the event schedule and required hours.
3. Multi-Day System Deployments
A multi-day deployment means the reserved equipment or system may remain installed at the venue for the agreed deployment period.
For example, a 2–4 Day Deployment allows the system to remain deployed for up to four days. A 7 Day Deployment allows the system to remain deployed for up to seven days, unless different dates or terms are stated in the reservation.
Multi-day deployment pricing does not include continuous staffing, daily operation or unlimited technician support unless those services are specifically included in the reservation.
Additional visits, system changes, equipment moves, rehearsals, sound checks, daily support or other services requested during the deployment period may result in additional charges.
4. Venue Access & Loading Conditions
The customer is responsible for providing Haye Productions with accurate venue access, loading and site information before the event.
Standard system deployment assumes safe and reasonable equipment access. Standard deployment pricing does not include carrying professional production equipment over stairs.
For event spaces above or below the primary loading level, an appropriately sized and operational service or freight elevator must be available during both setup and breakdown.
The customer must disclose any applicable:
- Stairs or restricted equipment access
- Service or freight elevator requirements
- Loading docks or loading-zone restrictions
- Long equipment carries
- Parking restrictions, permits or parking fees
- Security checkpoints or building access procedures
- Union or house-labor requirements
- Required dock or elevator reservations
- Restricted setup or breakdown hours
- Vehicle, trailer or truck access restrictions
- Other conditions that may affect delivery, deployment or removal
Undisclosed or unexpected access conditions may require additional labor, equipment or time and may result in additional charges or changes to the planned deployment.
5. Site Conditions & Deployment Area
The customer and/or venue must provide a deployment area that is reasonably accessible, suitable and safe for the equipment being provided.
The deployment area must be free from undisclosed hazards or conditions that could prevent safe delivery, installation, operation or removal of the equipment.
Depending on the production system, relevant conditions may include:
- Ground or floor conditions
- Available equipment footprint
- Ceiling height and overhead obstructions
- Vehicle and trailer access
- Doorway, hallway and elevator dimensions
- Safe equipment placement areas
- Structural or rigging restrictions
- Venue-imposed production limitations
Mobile Stage deployments and certain other production systems may have additional site, clearance, ground-condition or access requirements described in separate equipment-specific guidelines.
6. Event Schedule & Timing
The customer is responsible for providing accurate load-in, setup, event, breakdown and venue-access times.
Haye Productions schedules personnel, vehicles and equipment based on the event information provided by the customer.
Delays caused by unavailable venue access, inaccurate schedules, locked facilities, unavailable elevators, venue restrictions or other conditions outside Haye Productions' reasonable control may result in additional waiting time, labor, overtime or return-trip charges.
Changes to event timing should be communicated as early as possible and remain subject to equipment, vehicle and personnel availability.
7. Equipment Security & Customer Responsibility
When equipment remains at the venue between deployment and Haye Productions' scheduled breakdown, the customer and/or venue must provide a reasonably secure environment for the deployed equipment.
Production equipment may not be moved, disconnected, reconfigured, operated or removed by unauthorized persons without approval from Haye Productions.
The customer may be responsible for loss or damage occurring during the deployment period resulting from theft, misuse, unauthorized movement, liquids, weather exposure, negligence or other conditions outside the reasonable control of Haye Productions.
Depending on the equipment, venue, event or deployment duration, Haye Productions may require additional security measures, proof of insurance or a certificate of insurance before deployment.
8. Electrical Power & Site Readiness
When electrical power is required, the venue must provide suitable electrical service and a safe environment for the agreed production system.
Haye Productions will determine the reasonable electrical requirements for the system based on the final equipment and production configuration. The customer must disclose known electrical limitations or venue restrictions before the event.
Professional power distribution, generators or additional electrical infrastructure can be provided when required and may be quoted separately.
9. Outdoor Events & Weather
Outdoor production equipment must be deployed and operated only under conditions considered reasonably safe and suitable for the equipment.
Haye Productions may delay setup, modify the deployment, lower or secure equipment, shut down systems, suspend operation or remove equipment when weather or site conditions create a reasonable risk to people, equipment or the production.
This may include rain, lightning, high winds, flooding, standing water, excessive moisture, unstable surfaces or other unsafe environmental conditions.
Weather-related changes do not automatically eliminate costs already incurred for equipment reservation, transportation, labor, preparation or deployment. Any applicable rescheduling or credit will be determined according to the reservation terms and circumstances of the event.
10. Event Changes & Additional Services
Changes to audience size, venue, event schedule, entertainment, production requirements or system configuration may affect the equipment, labor and pricing required for the event.
Additional equipment or services requested after the original reservation may be added subject to availability and additional charges.
Haye Productions may recommend or require reasonable changes to the equipment or deployment when necessary for safe operation or to properly support the disclosed requirements of the event.
11. Reservation Changes, Rescheduling & Cancellation
System reservations require Haye Productions to reserve equipment, vehicles, production capacity and scheduling for a specific event date.
Cancellation or rescheduling terms may vary depending on the event, equipment, services and timing of the change. Any specific cancellation, rescheduling, reservation-payment or credit terms shown on the customer's proposal, estimate, invoice or agreement will apply to that reservation.
Requests to change an event date are subject to equipment and personnel availability and should be submitted as early as possible.
Costs already incurred for special-order equipment, transportation, third-party services, permits, labor or other event-specific expenses may remain payable if an event is cancelled or rescheduled.
12. Insurance & Venue Requirements
Certain venues, equipment, production systems or events may require certificates of insurance, additional insured status or other documentation.
The customer is responsible for informing Haye Productions of venue-specific insurance, vendor or documentation requirements with sufficient time for those requirements to be reviewed.
Additional insurance requirements, unusual contractual requirements, venue fees or third-party costs may affect event pricing.
13. Rigging, Structural & Specialized Deployment Requirements
Certain line array, staging, lighting, video and production systems may require rigging points, structural information, specialized lifting equipment, venue approval, engineering information or qualified personnel.
Any required rigging, structural support, lifts, motors, truss, engineering, permits or specialized labor are included only when specifically stated in the proposal or reservation.
Haye Productions will not deploy equipment in a manner considered unsafe or inconsistent with manufacturer requirements, venue requirements or reasonable professional production practices.
14. Safety & Final System Configuration
Haye Productions retains control over the final placement, configuration and deployment of its equipment when necessary for equipment safety, electrical safety, structural considerations, weather conditions or reasonable professional production practices.
Customers, guests, performers, vendors and venue personnel may not modify, relocate or bypass safety-related system configurations without authorization from Haye Productions.
If site conditions prevent the planned system from being deployed safely, Haye Productions may modify or suspend the affected portion of the deployment until a safe solution is available.
15. Equipment-Specific Deployment Requirements
Certain equipment and services may have additional requirements beyond these general System Deployment Guidelines.
This may include Mobile Stages, specialized rigging systems, large-format video systems, generators, power distribution and other production equipment requiring specific site, access, safety or operating conditions.
When additional equipment-specific guidelines apply, those requirements form part of the applicable deployment terms for that equipment or service.
