Mobile Stage Deployment Guidelines
These guidelines apply to Mobile Stage equipment that is professionally delivered, deployed and removed by Haye Productions LLC. They form part of the terms and conditions applicable to your Mobile Stage reservation unless different terms are specifically stated in your proposal, estimate, invoice or production agreement.
All Mobile Stage installations and operations are subject to applicable manufacturer requirements, engineering documentation, site conditions, weather conditions and the applicable High Wind Action Plan (HWAP).
Mobile Stage deployments are also subject to Haye Productions' System Deployment Guidelines where applicable.
1. Deployment Area & Site Conditions
A firm, reasonably level deployment area is required for Mobile Stage deployment.
The customer or venue is responsible for providing accurate information regarding the proposed stage location and any conditions that may affect delivery, setup, operation or removal.
Relevant site conditions may include:
- Ground conditions and surface stability
- Slope or uneven terrain
- Soft, muddy or saturated ground
- Drainage or standing water
- Overhead obstructions
- Trees, branches and landscaping
- Buildings, fences or other structures
- Underground or site utilities
- Available stage footprint and working area
- Other conditions affecting safe deployment
Final stage placement, configuration, deployment and continued operation are subject to approval by Haye Productions LLC.
2. Stage & Tow Vehicle Access
Suitable access must be provided for the Mobile Stage, tow vehicle and required support vehicles.
Access routes must provide sufficient width, height, turning clearance and surface conditions for safe entry and exit.
The customer must disclose any applicable:
- Narrow entrances or gates
- Restricted turning areas
- Low overhead clearances
- Weight-restricted surfaces or roadways
- Soft or unstable ground
- Curbs, steep grades or unusual terrain
- Restricted vehicle access
- Required permits or access credentials
If the stage or tow vehicle cannot safely access the proposed deployment location, Haye Productions may require an alternate location or decline deployment at that location.
3. Stage Placement & Required Clearances
The deployment location must provide sufficient space for the stage, support equipment and safe setup and breakdown operations.
Adequate clearance must be maintained from buildings, vehicles, trees, overhead lines, utilities, structures and other potential obstructions.
Haye Productions retains final approval over stage orientation and placement when necessary for safe deployment, access, weather considerations or equipment operation.
4. Production Equipment & Stage Loads
Audio systems, lighting, video walls, banners, scrims, scenic elements, backline and other equipment used on or in connection with the Mobile Stage must be appropriate for the application and deployed in a safe manner.
Equipment may not be attached, suspended or otherwise supported by the Mobile Stage unless approved by Haye Productions.
Production equipment, banners or other items may need to be repositioned, lowered, removed or secured when required by weather conditions, engineering limitations, manufacturer requirements or the applicable safety plan.
Any specialized rigging, structural support, engineering, additional labor or equipment required for the production is included only when specifically stated in the proposal or reservation.
5. Weather, Wind & Safety Authority
Haye Productions LLC reserves the right to delay deployment, modify the stage configuration, remove or lower banners, scrims, speaker systems, video walls, lighting or other equipment; suspend event operations; evacuate the stage area; lower the structure; or decline deployment when weather, wind, ground conditions, site conditions or other circumstances create a safety concern.
Wind and weather conditions may be monitored throughout installation, the event and breakdown.
Customers, venues, promoters, performers, vendors and other event personnel must comply with safety instructions issued by Haye Productions personnel relating to the Mobile Stage and any attached, supported or associated production equipment.
6. Mobile Stage Wind Operating Guidelines

| 0–19 mph | Normal Operations | Normal stage and event operations may continue while weather and wind conditions are monitored. |
| 20–29 mph | Alert / Standby | Stage and event personnel are placed on alert and should be prepared to take additional action if wind speeds increase or weather conditions deteriorate. |
| 30–39 mph | Wind Reduction Measures | Sidewalls and scrims are to be lowered or removed. Banners are to be released or removed as required. Other wind-sensitive equipment or accessories may also need to be lowered, removed or secured. |
| 40–49 mph | Operations Suspended | Stage and event operations are suspended. Additional safety actions will be taken in accordance with applicable manufacturer and engineering requirements and the High Wind Action Plan. |
Important: These operating guidelines do not replace or override applicable manufacturer instructions, engineering documentation or the applicable High Wind Action Plan. More restrictive requirements will control when applicable.
7. Banners, Scrims & Wind-Sensitive Equipment
All banners used on or attached to the Mobile Stage must be appropriate for the application.
Where required, banners must be produced using appropriate wind-permeable/pass-through mesh material and installed so they can be released or removed as required by the applicable safety plan.
Haye Productions may require banners, scrims, signage, lighting, speakers, video equipment or other wind-sensitive equipment to be lowered, removed, released or secured as weather conditions change.
8. Lightning & Severe Weather
Stage operations may be suspended when lightning, thunderstorms, severe weather or other hazardous conditions threaten the event site, regardless of measured wind speed.
Personnel, performers, vendors and event participants may be required to evacuate the stage area and seek appropriate shelter.
Haye Productions may delay reopening or resuming stage operations until conditions are considered reasonably safe and any required inspection or safety procedures have been completed.
9. Weather-Related Safety Actions
Weather-related safety actions taken by Haye Productions in accordance with its safety procedures or applicable manufacturer, engineering or High Wind Action Plan requirements do not constitute equipment failure.
Safety decisions may require changes to the stage, production equipment or event schedule even when those changes affect event operations.
Safety requirements take priority over event programming, production preferences and scheduled performance times.
10. Customer, Venue & Event Responsibilities
The customer is responsible for communicating relevant stage requirements to the venue, promoter and other event participants as necessary.
Venue rules, permits, local requirements, access restrictions and other event-specific requirements must be disclosed to Haye Productions before deployment.
Customers, venue personnel, performers, vendors and other parties may not modify, relocate or interfere with the Mobile Stage or its safety-related systems without authorization from Haye Productions.
