What is dealer support?

As part of our supporting service to our purchasing customers, we offer exclusive RCF dealer support. This support policy is to help out all of our RCF customers from rentals to sales and more.

If you have a speaker that goes down last minute and/or is waiting for repair, we can offer a tailored service through our rental department to help meet your needs. This can include offering the same model of speaker with a up to 50% discount rental rate off the normal rate and/or special extended rental terms. Extended terms can help for booking that are back-to-back.

Our rental support service can also help anyone that just needs an additional speaker for an event. OR last-minute change in venue where a large PA might be required.

For our Line array customers, we carry full line array systems in stock. The service go above the discounted rental rates and include support additional speakers for you next job to make sure you goes smoothly! From RCF line arrays, RCF subwoofers, wedges or two-way or just extra flying hardware, we are here help!

Our service can expand into our equipment such as trussing, road cases, microphones, mixers and more. Certain items like digital mixers and certain wireless products are excluded.

What production services do you offer?

We are a full sound and light production company with a special focus on audio systems. We offer a full array of small to large scale sound systems. This includes affordable two-way PAs for smaller events, to more premium column speakers for upscale events, corporate AV, and line arrays speaker concert PA system for bigger live events. How to spot authentic rcf gear

Always look for the genuine RCF reflective hologram on the back of your speakers. There will be a specific serial number that is provided with your unit to ensure it’s of authentic RCF make. When you shop with us, you will always know that you have the authentic item.

 

Product Return Policies

30 days on new product only with a 20% restocking fee applied. Customer pays return shipping on all accepted product returns. All products must be returned within their original packaging in the same condition as was received. Once the product has been returned to our facility, product will inspect it for any damage or missing items.

EXAMPLE OF CORRECT RETURN PACKAGING:

  1. Item is properly packaged back in it’s original box

  2. All strapping related to shipment has been reattached to the shipping box

  3. All materials present with the product have been returned, including owners manual, wires, clips and any other item that makes it “complete”. Missing items will be deducted from any authorized return.

EXAMPLE OF INCORRECT RETURN PACKAGING:

  1. Item is not sent in it’s original packaging, falls out of the packaging, is damaged in any way due to improper packaging. Any item not sent in it’s original packaging is not eligable for a refund and may be held at our facility at the customer’s expense and only returned if customer pays shipping back to their location. It is very important to properly package the item for return to prevent damage between your location and ours.

  2. Item is missing contents. Any missing item of any kind, may it be a clip or owners manual, will make the return ‘incomplete’. The returned product may be still eligable for a refund with the missing item valuation deducted on top of the restocking fee.

  3. Items which are swapped out with another product. Returning anything but the correct original product in it’s original packaging is not eligable for return nor shipment back to your location. If we are sent fraudulent items, we will keep them with no refund issued.

Product Rental Policies

Rental Guidelines Summary:

Rental window for each item is up to 2 days, starting form the first date of the rental (unless contact is stated otherwise).

Example, when item is rented on a Friday it must be returned by no later than closing following business day (Saturday) unless contracted for longer.

What if item rented was damaged:

If item rented is not returned in the same condition renter can incur additional charges. Additional charges can range from minor cosmetic damage to item being damaged beyond repair. Then we will assist the cost for the repairs, including if item is damage beyond repair.

Inspection of returned items can take up to a 2 week after the return.

What if item was stolen or lost:

If item rented is/was lost or stolen, the renter is responsible for the rented item and will be charge the replacement value. Replacement value can be replacement cost, including retail price. If rental is coverage by temp insurance policy. Policy must be made out to Haye Productions LLC as loss payee.

Rental Insurance Requirements

CERTIFICATE OF INSURANCE or FULL REPLACEMENT VALUE DEPOSIT

Insurance is required for all rental items where CLIENT is operating equipment on their own.  These insurances may not be required where Haye Productions LLC will set up & operate the equipment. If you are not sure about insurance requirements for your order / event, please contact us at your earliest convenience for details @ 908-750-6319

This can be covered in the following manner:

1) Cash and card with insurance.

CREDIT CARD on FILE w/Personal Guarantee:
Your credit card details will be kept on file in the event of loss, damage, or late return, or any other reason for a lost. A personal guarantee is also required, listing the client as personally responsible for all damages and outstanding balances including temp rental insurance.

FULL REPLACEMENT VALUE:
We reserve the right to require up to the FULL Replacement Value of the equipment charged to a credit card, or a cash deposit.  After your rental has been returned, and all equipment tested and verified, the deposit will be released.

CERTIFICATE OF INSURANCE (COI):
Customer shall purchase and maintain insurance of the following types of coverages and limits of liability:

1. Commercial General Liability including contractual liability with minimum limits of $1,000,000 Each Occurrence, $2,000,000 General Aggregate per project or per location, $1,000,000 Products/Completed Operations Aggregate $1,000,000 Personal/Advertising Injury

2. Workers Compensation Statutory Coverage and Employers Liability: a minimum of $1,000,000 each accident, $1,000,000 each employee, $1,000,000 policy limit.

3. Commercial Automobile Liability in the amount of $1,000,000 CSL

Required if Customer is renting equipment from Haye Productions.. Rentals requiring a COI will not be released until COI is received and verified

4. Property/Equipment Insurance covering rentals from Haye Productions LLC including all tools, materials and equipment to the full replacement value as indicated on the provided quote. Failure of the Customer to secure and maintain adequate coverage shall not obligate Haye Productions, LLC for any losses.

Attached to each certificate of insurance shall be a copy of the additional Insured Endorsement that is part of the Customer’s Commercial General Liability Policy. These certificates and the insurance policies required by this Article shall contain a provision that coverage afforded under the policies will not be canceled or allowed to expire until at least thirty (30) days' prior written notice has been given to Haye Productions LLC. Such insurance shall be provided by an insurance carrier rated “A-“ or better by A.M. Best and lawfully authorized to do business in the jurisdiction where the work is being performed. The Commercial General Liability insurance shall include additional insured coverage.

UPDATED Rental Guildlines Terms & Conditions

Haye Productions LLC

These Speaker Rental Terms & Conditions (“Agreement”) govern all equipment rentals provided by Haye Productions LLC (“Company”) to the client (“Renter”).

By renting equipment from Company, Renter agrees to the following terms:

1. Rental Equipment

Company agrees to rent professional audio equipment including, but not limited to:

  • Powered speakers

  • Subwoofers

  • Speaker stands

  • Cables and connectors

  • Mixers and related audio accessories

Equipment provided will be listed on the invoice or rental order form (“Rental Order”), which is incorporated into this Agreement.

2. Rental Period

The rental period begins on the agreed pickup or delivery date and ends upon return of equipment to Haye Productions.

  • Late returns are subject to additional daily rental fees.

  • Failure to return equipment within 72 hours of the agreed return time may be considered unlawful possession.

3. Payment Terms

  • A non-refundable deposit (amount specified on invoice) is required to reserve equipment.

  • Full payment must be made prior to equipment release unless otherwise agreed in writing.

  • Security deposit (if required) will be refunded within 3–7 business days after inspection, less any damages or unpaid fees.

4. Use of Equipment

Renter agrees to: Use equipment in a careful and proper manner.

  1. Not to sublease or transfer equipment.

  2. To operate equipment safely and properly.

  3. Operate equipment only for its intended purpose.

  4. Not sublease, transfer, or allow unauthorized use.

  5. Follow all safety and operating instructions.

  6. Not to use equipment outdoors without proper weather protection.

  7. To provide proper power supply (grounded outlets, no overload).

Equipment may not be used in extreme weather conditions (rain, excessive heat, high humidity) unless properly protected.

6. Damage, Loss, or Theft

Renter assumes full responsibility from delivery/pickup until return and inspection.

Renter agrees to pay:

  • Full repair cost for damaged equipment

  • Full replacement value for lost, stolen, or destroyed equipment

  • Loss-of-use fees during repair/replacement period

Theft requires a police report filed within 24 hours.

Company’s assessment of damage and replacement cost shall be binding.

7. Indemnification & Liability

To the fullest extent permitted under the laws of the State of New Jersey:

Renter agrees to indemnify, defend, and hold harmless Haye Productions LLC, its owners, employees, and contractors from any claims, injuries, damages, lawsuits, costs, or attorney fees arising from:

  • Use or misuse of rented equipment

  • Improper setup by Renter

  • Third-party injuries at event

  • Electrical or venue-related issues

Limitation of Liability:
Company’s total liability shall not exceed the total rental fees paid. Company is not responsible for:

  • Event interruption

  • Power outages

  • Weather damage

  • Lost profits

  • Third-party vendor failure

8. Setup & Technician Services

If Company provides setup:

  • Renter must provide safe access and adequate power.

  • Company is not liable for venue restrictions or shutdowns.

If Renter declines setup services, Renter assumes full installation responsibility.

9. Cancellation Policy

  • 7+ days before event: Deposit may transfer once within 90 days.

  • Within 7 days: Deposit forfeited.

  • Within 48 hours: Full rental amount due.

Cancellations must be in writing.

10. Insurance

Renter is encouraged to obtain event liability insurance.

For large-scale events, Company may require a Certificate of Insurance listing Haye Productions LLC as Additional Insured.

11. Default & Collections

If Renter fails to return equipment or pay outstanding balances:

  • Company may pursue legal remedies in New Jersey courts.

  • Renter agrees to pay reasonable attorney’s fees, court costs, and collection expenses permitted under NJ law.

12. Governing Law & Venue

This Agreement shall be governed by and construed in accordance with the laws of the State of New Jersey.

Any disputes shall be resolved exclusively in the courts located in the State of New Jersey.

13. Force Majeure

Company shall not be liable for failure to perform due to circumstances beyond its control, including but not limited to natural disasters, government orders, venue shutdowns, or emergencies.

14. Entire Agreement

This Agreement and the Rental Invoice constitute the entire agreement. Any modifications must be in writing and signed by both parties.

RENTER ACKNOWLEDGMENT

By signing below or paying the invoice, Renter acknowledges they have read, understand, and agree to all terms listed above.

INSURANCE & SECURITY REQUIREMENTS

Haye Productions LLC

Insurance or a Full Replacement Value Deposit is required for all rentals where Client takes possession of and operates equipment. Please see Sections 1-5 for details.

Insurance may be waived only when Haye Productions LLC provides full setup, operation, and strike services, at Haye Productions sole discretion.

If Client is unsure of insurance requirements, Client must contact Haye Productions prior to equipment release.

1. Security Options

Client must satisfy ONE or MORE of the following prior to equipment release:

A. Credit Card on File with Personal Guarantee

  • A valid major credit card must be kept on file.

  • Client must sign a Personal Guarantee accepting full responsibility for:

    • Loss

    • Theft

    • Damage

    • Late returns

    • Loss of use

    • Temporary replacement rental

  • Company may charge the card for unpaid balances, damages, or replacement costs without further authorization.

  • Client waives dispute rights for charges supported by this Agreement.

B. Full Replacement Value Deposit

Company reserves the right to require a deposit up to 100% of the full replacement value of the rented equipment.

  • Deposit may be held via credit card authorization or cash.

  • Equipment will be inspected and tested upon return.

  • Deposit will be released within 5–10 business days, less any:

    • Repair costs

    • Replacement costs

    • Cleaning fees

    • Late fees

    • Loss-of-use charges

Replacement value shall be determined solely by Company based on current market cost (not depreciated value).

C. Certificate of Insurance (COI)

If required by Haye Productions, Client must provide a valid Certificate of Insurance prior to release of equipment.

Rentals requiring a COI will not be released until insurance documentation is received and verified.

2. Required Insurance Coverages

Client shall purchase and maintain the following insurance coverages:

1. Commercial General Liability (CGL)

  • $1,000,000 Each Occurrence

  • $2,000,000 General Aggregate (per project or per location)

  • $1,000,000 Products/Completed Operations Aggregate

  • $1,000,000 Personal & Advertising Injury

Must include:

  • Contractual liability coverage

  • Additional Insured endorsement naming HAye Productions LLC

2. Workers’ Compensation & Employers Liability

  • Statutory Workers’ Compensation coverage (as required under New Jersey law)

  • $1,000,000 Each Accident

  • $1,000,000 Each Employee

  • $1,000,000 Policy Limit

3. Commercial Automobile Liability (if transporting equipment)

  • $1,000,000 Combined Single Limit (CSL)

4. Property / Equipment Coverage

Client must maintain inland marine or property insurance covering rented equipment for full replacement value.

Failure to maintain adequate coverage does not relieve Client of financial responsibility.

3. Additional Insured & Certificate Requirements

The Certificate of Insurance must:

  • Name Haye Productions, LLC, its officers, agents, employees, assigns, and the facility landlord as:

    • Additional Insured (for liability coverage)

    • Loss Payee (for property/equipment coverage)

The policy must:

  • Provide 30 days’ written notice of cancellation

  • Be issued by an insurer rated A- or better by A.M. Best

  • Be authorized to conduct business in New Jersey

A copy of the Additional Insured Endorsement must accompany the COI.

4. Primary & Non-Contributory Clause (Recommended Addition)

Client’s insurance shall be primary and non-contributory with respect to any insurance maintained by Haye Productions LLC.

5. No Waiver of Liability

Failure by Company to request insurance documentation does not waive Client’s responsibility for:

  • Full replacement cost

  • Damage

  • Theft

  • Loss of use

  • Legal fees

  • Collection costs

ADDITIONAL PROTECTIVE PROVISIONS

Haye Productions LLC

1. Loss of Use Clause

Loss of Use.
In the event rented equipment is damaged, lost, stolen, destroyed, or otherwise rendered unavailable for rental, Client agrees to pay, in addition to repair or replacement costs, the applicable rental rate for the period of time the equipment is out of service (“Loss of Use”), including the time required for:

  • Inspection

  • Repair

  • Replacement sourcing

  • Shipping

  • Reconditioning

  • Administrative processing

Loss of Use shall be calculated at the standard daily rental rate listed on Company’s current pricing schedule and shall continue until the equipment is returned to rentable condition or replaced.

Loss of Use charges are not a penalty, but compensation for actual business interruption damages.

2. Market Replacement Value Clause

Replacement Value.
If equipment is lost, stolen, destroyed, or damaged beyond economical repair, Client agrees to pay the full current retail replacement cost of the equipment, determined at the time of loss.

Replacement value:

  • Shall not be based on depreciated value.

  • Shall not be reduced for age, wear, or prior use.

  • May include shipping, taxes, programming, configuration, and setup costs.

Company’s determination of replacement value based on current market pricing from authorized dealers or manufacturers shall be final and binding.

3. Attorney Fees & Collection Costs

Collection Costs and Legal Fees.
If Client fails to pay any amount due under this Agreement and Company refers the matter to an attorney or collection agency, Client agrees to pay:

  • All reasonable attorney’s fees

  • Court costs

  • Filing fees

  • Collection agency fees

  • Interest at the maximum rate permitted under New Jersey law

This provision shall survive termination of the Agreement.

4. Credit Card Charge Authorization (Critical for NJ Protection)

Credit Card Authorization & Personal Guarantee.

Client authorizes Haye Productions LLC to charge any credit card provided (including cards kept on file) for:

  • Unpaid rental balances

  • Late fees

  • Cleaning fees

  • Repair costs

  • Replacement costs

  • Loss of Use charges

  • Collection costs

  • Insurance deductibles

  • Any other amounts due under this Agreement

Client expressly waives the right to dispute such charges with the credit card issuer where charges are consistent with this Agreement.

If the individual signing this Agreement is acting on behalf of a company, organization, or event entity, the undersigned agrees to be personally and individually liable for all obligations under this Agreement.

Authorization shall remain valid until all equipment is returned, inspected, and all outstanding balances are paid in full.

Waiver of Consequential Damage Claims

Client agrees that Haye Productions LLC shall not be liable for:

  • Event cancellation

  • Lost ticket sales

  • Lost revenue

  • Vendor penalties

  • Reputational damage

  • Emotional distress

Under no circumstances shall Company’s liability exceed the total rental amount paid.

Why These Additions Matter

These clauses:

  • Protect against downtime revenue loss

  • Prevent disputes over depreciated value

  • Reduce chargeback fraud risk

  • Make personal guarantees enforceable
